Cancellation & Refund Policy
At Safar Sarathi Travels, we understand that plans can change. We aim to provide flexibility to our customers while maintaining the integrity of our services. Please read our Cancellation and Refund Policy carefully to understand the terms and conditions regarding cancellations, modifications, and refunds.
1. Cancellation by the Customer
If you wish to cancel your booking, please notify us in writing by email or through the contact form on our website as soon as possible. The following cancellation charges will apply based on the time of cancellation:
- Cancellation 30 days or more before the departure date: Full refund, minus a cancellation fee of 10% of the total booking amount.
- Cancellation between 15 to 29 days before the departure date: 50% of the total booking amount will be refunded.
- Cancellation less than 15 days before the departure date: No refund will be provided.
- No-Show: In case you fail to show up for the tour or travel without prior cancellation, no refund will be given.
2. Cancellation by Safar Sarathi Travels
We reserve the right to cancel or modify a tour package due to unforeseen circumstances, such as:
- Weather conditions
- Force majeure events (e.g., natural disasters, strikes, pandemics)
- Insufficient number of participants for the tour
- Other reasons beyond our control
If we cancel your booking for any of the above reasons, we will offer the following options:
- Alternative arrangements: We will try to offer an alternative tour or services of equal value, if available.
- Full refund: If no alternative is possible, we will refund the full amount paid for the booking.
3. Refund Process
Refunds will be processed within 10-15 business days after the cancellation request has been approved, depending on the payment method used for the booking. Refunds will be issued to the same account or card used for the original payment.
4. Refunds for Hotel/Transport Bookings
In case your booking involves non-refundable accommodations, flights, or transport, we will not be able to offer a refund unless the service provider (hotel, airline, etc.) allows for one. In such cases, any refund we receive from the service provider will be passed on to you, subject to their terms.
5. No Refund for Services Used
No refunds will be issued for any part of the tour or service that has already been used or completed, including any portion of travel that you choose to cancel once the trip has started.
6. Modifications to Bookings
If you wish to modify your booking (e.g., change dates, destinations, or number of passengers), please contact us as soon as possible. Modifications are subject to availability and may incur additional charges. Changes made within 7 days of the departure date are not guaranteed and may be treated as a cancellation.
7. Special Circumstances and Exceptions
In certain circumstances, we may offer a partial refund or waive cancellation charges. These may include:
- Serious illness or medical emergencies (requiring supporting documentation such as a doctor’s note).
- Any other situation deemed exceptional by Safar Sarathi Travels management.
8. Non-Refundable Fees
Certain fees are non-refundable, including:
- Service fees
- Administrative fees
- Transaction fees charged by payment gateways
- Visa, insurance, and other third-party service charges
9. Travel Insurance
We highly recommend purchasing travel insurance to cover unforeseen cancellations, medical emergencies, or trip interruptions. Safar Sarathi Travels is not responsible for any costs or losses not covered by the insurance.
